Group Committee Minutes

January 7, 2004

 

In attendance: John Masterson (Chair), Glen Earl (Venturers), Brian Everett (Rovers), Diana Bugeya (Registration), Michael Young (Training, Honours and Awards), Blake Codesmith (Treasurer), Laura Jarvis (Scouts)

 

Regrets:  Ann Simon, Marvet Jamal

 

Absent:     Graham Warren

 

Opening:            John led us in a prayer

 

Chairs Update:           

·         The next Seton Area Forum will be held at Leaside Presbyterian on Wed, Jan 21.

·         Ed Balyk, our Scout Executive has been transferred to the west end of the city.  Adam Whyte has been re-assigned as our Scout Executive.

·         No Area Commissioner has been found to replace Ralph

·         New floor in Church Hall. It is nice and bright but marks easily.  Please take care with it

 

Treasurers Report:

·         Financial information not all available to Blake.  He will update for February and have full financial statements.

Registration:

·         Final numbers are 97 youth (including 27 new youth) and 27 leaders. 

·         Diana to check whether Richard Hamel is registered and paid for and confirm with John

 

Training, Honours and Awards:

·         Mentor and Coaches meeting to be set up in next week or so.

·         First Aid to be held starting in early February.  Mike to call Richard, the First Aid man and confirm dates and times.

·         Mike to look for information on the Ontario Honours and Awards site for Volunteer Service Awards

 

Section Reports:

Beavers:

·         Diana made the report and noted that the Jan 6 meeting had been enjoyed by all

·         Leaders meeting to be held soon and will plan program to end of March

·         Hoping to have camp at end of May beginning of June but need location.  Many suggestions given.

 

Cubs:

No report

 

Scouts:

Plans for January

Jan 5   Court of Honour, Winter Camp Prep

Jan 12 Winter Camp Prep, Badge Clubs

Jan 19 Winter Camp Prep, Badge Clubs

Jan 26 Tobogganing *

Jan 30-Feb 1  Winter Camp at Northumberland Scout Camp

 

Tobogganing is shown on schedule for Jan 26 as a place holder, but as soon as we have decent weather, we will go tobogganing.  Scouts are aware of this and are waiting for the Sunday night phone call.

 

Winter Camp Plans

Leave Toronto on Friday night, January 30th. 

Spend Friday night in Main heated lodge

Saturday move to Bunk House or tents

Bunk House heats to about 8 C

Main Lodge will be used by Cubs on Saturday night, but should extreme temperatures be experienced, Scouts could always move in and sleep in bottom floor.

 

Venturers:

December 17, 2003

Ventures invited the 93 Venturer Company to go curling.

Thanks to Stan Murray for arranging ice time at the Granite Club.  All had fun

This was our last meeting for 2003

 

The last week of December many of the Ventures, Rovers and Leaders went to Diana’s cottage for to ski.  All enjoyed themselves although there was no cross-country skiing as there was not enough snow.

 

January 5, 2004

First meeting of 2004, this meeting was well attended.

Discussed the following

-                      Possible camp with the Cubs and Scouts at the end of January

-                      Possible camp near the end of February at Camp Goodyear

-                      First Aide Course

-                      93 Ventureres have challenged us to a potato cannon challenge. 

Matthew and Mark will take a look at the plans and determine if they are interested in taking up the challenge

-                      The youth are looking into the possibility of a canoe trip in the spring rather than whitewater rafting.  They have not decided which they want to do.  They may decide to do both

-                      Lindsey is looking into the possibility of getting a group together to take “canoe tripping” part one.  She will investigate the possibility and cost for this activity.

Donna has advised that the hall will be in use that night so we are planning to meet at the Second Cup at Sunnybrook Plaza.  If there is enough snow we will go tobogganing that night

No meeting -  Leaders will have a leader place TBD

Other Business

Open Positions on Group Committee:

·         Would like to have a Beaver parent as Group Committee rep.

 

Christmas Tree Sales: 

·         No explanation as to why not as successful as previous years—weather? timing?

·         Profit of approximately $3,200 but it was a struggle—2 ½ weekends

 

Support from Families:

·         Becoming a major concern that more that half our families don’t support Group activities like All Section Camp, Apple Day, Popcorn Sales, Christmas Tree Sales.

·         What can we do?

·         How can we get the word out better?—Suggested using notice board and place in hallway for Beaver and Cub parents.  Send/deliver more paper copies to homes

·         Should we have a Leader Forum during Scout Week?

 

Fundraising Plan:

·         John suggested a small sub committee of Blake, Laura, Mike and himself to review what should we be doing, what works, how much do we really need to fundraise?

·         Sub committee to come back to Group Committee in February

 

Succession Planning:

·         Beavers and Scouts in particular for next year

 

Scout Week—February 15-22, 2004

·         Church Service- Rev Nick not available Feb 22 so will plan for Feb 15. Laura to look into joint service with 110th at Northlea United Church

·         No Hobby Show

·         Banquet will be TUESDAY, February 17th (note not a Wed as usual as the School will be having an Open House and parking will be difficult.)  Banquet tasks were allocated by section as follows:  Hopefully this will spread the load amongst all the sections!

o       Venturers            Clean up and Serving

o       Group                        Kitchen

·         Leader Forum- Monday, February 16

 

Garden Products:

·         90 days from now we will be selling them!  Dan Wood would like to be involved.  Specific dates of selling and delivery would be helpful for February meeting.

 

Out of the Cold Program:

·         Our Sponsor is supporting this program that serves hot meals to disadvantaged people out of St Andrew’s Church.  They are looking for clothing donations.  Agreed that we would support and try to raise 1,000 pounds of clothing.

 

Commissioners’ Weekend:

·         John will be representing Seton Area at the annual Commissioners weekend, Jan 16-18 at Woodland Trails.  If you have any topics you would like him to bring forward, please let him know.

 

Christmas Greetings to the 132nd were received from

·         Roger and Hilary who are bringing the UK group here this summer

·         Helen Knowles , Past Commissioner, New Brunswick who many met during her visit here in April

 

Date of Next Meeting:

We will change Group Committee meetings back to Mondays as they seem to work better for many people.  So next Group Committee will be Monday, February 2, 2004 at 8:00pm
